Add or remove users from notifications, reports, alerts and daily digest

Digest Emails & Task Completion Emails are only available on the Standard Plan


There are four types of email notification:

  • The Daily Digest arrives each morning showing how your team has performed the previous day, with scores for each site

  • The Weekly Digest arrives end of the day on Saturday, showing you how your team has performed during that week, including the average weekly scores

  • The Task Completion report is sent every time a specific task is completed and includes the data entered on that task

  • The Exception Task Completion report is sent every time a specific task is completed with an exception - great for tasks where notifications aren't essential unless something's not quite right


Daily Digest

Every Trail user receives a digest for the sites they have access to.

If you are assigned to multiple sites, you'll be shown the best and worst 5 performing sites.

Weekly Digest

Every Trail user receives a Weekly Digest for the sites they have access to. This includes information such as ad-hoc tasks completed, the average score for all sites for the week and any missed tasks.


Task Completed and Task Exception Notifications

Task Completion and Task Exception Notifications are enabled in the Task Editor for those on the Standard Plan.

Admins and Managers will receive a notification every time any of their sites complete that specific task.

The email contains the data entered into the task, excluding Checklists and comments.

This is often used for critical ad-hoc tasks such as Pest Control - like the example below:

Unsubscribing

By default, all Admins, Managers and Teams are subscribed to email notifications. To stop receiving the Daily Digest or Task Completed notifications, they just need to unsubscribe at the bottom of the email.

To resubscribe to a notification, just ask the Support team over chat - remember to give them the email addresses.


It's not currently possible to unsubscribe from a specific task notification - it's all or nothing.

💡 Note: Only Trail users can be subscribed to notifications - we don't accept generic email addresses


Activity Feed

Admins and Managers will also see notifications on their Activity Feed - including those they've unsubscribed from.

This is particularly useful if you don't have regular access to the account email address (eg. Managers on shared accounts) or want to cut down on email noise without losing visibility.

How do I set up a Task Completed Notification?

First, make sure the user notification settings are correctly configured for these to work.

Head to the 'Users' page by clicking the company name in the top right hand corner of the page, then select the user to check their settings.

The settings for Notifications can be found at the bottom of the user's profile page and look like this:

Next, make sure task settings are enabled.

Head to the task that needs notifications and open the Task Editor, click on the 'Report' tab in the Task Editor.

This will list the kind of notifications available for the task:

Once the notification type has been selected make sure the correct users are selected to receive the Task Notifications.


Why aren't I receiving my Digest Emails?

Here are some handy tips to troubleshoot why a user may not be receiving their notification emails:

Check the user settings

Head to the 'Users' page by clicking the company name in the top right-hand corner, from there select the user who isn't receiving emails and scroll to the bottom of their user profile page.

At the bottom of the page, there is a 'Notifications' box, make sure the desired notifications are ticked for the user to receive them.

Has the user accidentally marked us as spam?

It's worth asking the user to check their junk/spam folder to see if emails from Trail have accidentally been marked as spam. If this is the case, mark the Trail emails as 'Not Spam'.


Is the email correct?

Sometimes it does happen that there's an error with a users email - if you spot an error drop a message to support@trailapp.com letting us know and we'll change this for you.

Is the site live?

Digest emails will not be sent unless a site is active (the site status will say 'Live'), so if a site is in any other status including 'Setting Up' they will not be included in the Digest.

Are they a Trail user?

If the person in question is not an existing user of Trail, they will not receive these emails.


If they're a Trail user, have they accepted their invite?

Emails won't be sent from Trail until the user has accepted their invite from Trail.


Why aren't I receiving Task Completion Notifications?

Here are some handy tips to troubleshoot why a user may not be getting their notification emails:

Make sure that the settings are correct on the task in question by heading to the Task Editor & clicking the 'Reports' tab. From there select which kind of Task Notification is needed & which users require this notification.

Has the user accidentally marked us as spam?

It's worth asking the user to check their junk/spam folder to see if emails from Trail have accidentally been marked as spam. If this is the case it might be worth marking Trail emails as 'Not Spam'.


Are the users' details correct?

It might be worth checking if the user's details are correct in their user profile. Check that their role is either Admin or Manager, as Team level permission users will not receive these emails.


If the user is a Manager, it's worth checking they're assigned to the correct site. Admins have access to all sites as standard.
