Set permissions against roles and tasks so your staff can flag irrelevant tasks

Some tasks might not be relevant for every site, every day. Use the Flagging setting in the task Content tab to allow users with permission to flag certain tasks as not applicable.

Why flag tasks and what are flags for?

  • Flag a task when you can’t complete it (e.g 'we don't have the right equipment')

  • Flag an item when it’s not applicable to your site or on that day (e.g 'the coffee machine's out of service at the moment')

  • Flag an item when it's never applicable to your site (e.g 'we don't have a coffee machine')

    • When an item is flagged as never applicable, teams won't be required to complete it until it's been 'unflagged'.

Allowing a task to be flagged

As an Admin or user with permission to edit tasks, you can use the Flagging setting at the bottom of the Content tab when managing tasks.

  • Toggle this setting to on (see below) to allow a task to be flagged.

  • Publish changes to see this change reflected on the task itself.

Set user permissions to allow them to flag tasks

For users to be able to flag tasks, you'll need to give them permission. You can do this by assigning flagging permissions to a user role.

Permission can be granted to:

  • Only flag tasks on the day - Mark whole tasks as 'Can't Complete' or 'Not Applicable'

    • This will allow staff to flag the task on the day, but it will still appear for completion next time it's scheduled.

  • Flag tasks as never applicable - Mark whole tasks as Never Applicable

    • When an item is flagged as never applicable, teams won't be required to complete it until it's been 'unflagged'.
