Every day, your teams complete hundreds of tasks. With so much happening, not everything will go according to plan. When issues arise, it’s important for the team to document how they’ve handled them. Comments enable team members to clarify decisions made during task completion and provide additional context. This helps your team communicate clearly and transparently with anyone who needs to understand the history or outcome of a task.

If the team encounters any challenges during task completion, comments can effectively demonstrate compliance and provide contextual insights during an audit. Comments serve as a historical record, shedding light on the circumstances at the time and enriching the audit trail.

💡 Tip: If you anticipate that a particular task will frequently require a comment, consider enforcing mandatory photos and comments to ensure the necessary details are captured every time.

What's the easiest way to review these comments?

To review comments left by the team on their tasks, go to the Task Reports page. To focus on tasks with comments, apply the 'Exceptions' filter and select 'Comments.' You can use this filter along with others—such as a date range or tag filter—to focus in on a particular area of the business.

How should I respond to these comments?

Remember, comments are not a replacement for other communication channels between you and your teams. While you can respond to comments on a particular task, treat this follow-up as a history log rather than a place to send messages, as the team would only see these comments if they viewed the task history. Instead, consider raising any actions as a separate one-off task for the team!
