What Is Copilot?
Copilot is an AI assistant created by Microsoft that helps users think, learn, and get things done through intelligent conversation. In Trail EVO, Copilot is integrated to support hospitality teams by answering questions based on your business’s internal documentation.
Why Copilot Matters
Copilot helps teams work faster and more confidently:
It provides instant answers to policy-related questions without needing to search through folders or interrupt managers.
It ensures consistency by guiding users to the correct process every time.
It reduces errors by delivering clear, accurate instructions based on your own documentation.
Using Copilot in Trail EVO
Copilot is easy to access and built into the Trail EVO interface. Users tap the Access button to open Copilot from the EVO menu, which they can access from both Policies & Procedures section and Trail.
To get the best results, users should select the Policies and Procedures skill before asking questions. This ensures Copilot searches the correct documents and provides accurate answers.
What Are EVO Skills?
Skills are specific capabilities that Copilot uses to assist users. In Trail EVO, the Policies and Procedures skill allows Copilot to:
Answer questions using your stored policy documents.
Summarise key points from detailed policies.
Provide step-by-step guidance for Trail tasks.
Example Questions You Can Ask
Here are a few examples to help your team get started:
“Do I have any unread policies?”
Copilot will check and let the user know.“Can you tell me the key points from our manual handling policy?”
Copilot will summarise the relevant sections.“How do I take fridge and freezer temperatures?”
Copilot will guide the user through the correct process.
If the answer is not in your Policies and Procedures, Copilot will let the user know!
Security and Access Control
Copilot's Policies & Procedures skill only accesses documents that you have added to that module. All content remains within your secure environment.
Each team member receives answers based only on the content linked to their login. You can choose to enable Copilot for selected users rather than the entire team.
How to Enable Copilot for Members
Access to Copilot is managed through the Members page in Trail EVO. From Trail, hit the Access button and select Access EVO from the product list.
Navigate to your Main Settings, and select Members.
On this page, you can select members individually by clicking their names, in groups by selecting multiple names at once, or all at once by clicking the double check mark icon.
Once you've selected the relevant members, hit Add and select Assign Feature.
You'll assign the Copilot feature to members as a user, then hit Assign Feature.
Note: This is also where you can give members access to The Button Feed, which brings together notifications from both Trail and Policies and Procedures into one convenient space.
Finally, you'll need to hit Apply and Confirm. That's all there is to it!
