Using tags to group similar tasks

Group tasks by function or department so teams can filter their task list

What are Tags?

Tags are labels you can use to categorize tasks.

With tags you can filter Trail so each team or department will only see tasks that apply to them, helping them get the job done quicker.

Tags can also be used as a filter choice when looking at reporting, more on that here.

Tags don't restrict users from being able to see and complete other tasks outside their chosen filter, but it does help cut through the noise so that teams can focus on tasks that are relevant to their role.


How do I create a tag?

  • Head to the Manage Tasks page and select the task that needs tagging

  • Click 'Edit' to go to the Task Editor

  • Go to the 'Assign' tab and head to the section for tags

  • Click 'Create New Tag'

  • Fill out the text field with your desired tag - for example, 'Back Of House'

  • Click 'Add Tag'

  • This will create the tag and allow the tag to be used on other tasks.

How do I remove a tag from a task?

  • Head to the Manage Tasks page and select the task that needs tagging

  • Click 'Edit' to go to the Task Editor

  • Go to the 'Assign' tab and head to the section for tags

  • From there all of the assigned tags will appear, hit the 'X' next to the name of each tag to remove it.

How do I delete a tag completely?

  • Head to the Manage Tasks page in the 'My Tasks' section

  • Where it says 'Filter By Tag' on the left-hand side of the page select 'Edit Tags'

  • This will bring up the list of existing tags to be edited or deleted.

πŸ’‘ Note: Deleting the tag from this section will delete the tag completely and remove the tag from all associated tasks.

How can I filter by tags?

  • Head to the Complete Tasks Page

  • In the toolbar at the top, select the 'Filter' option

  • This will populate a list of your existing tags

  • Once a filter has been selected, only tasks assigned with that tag will appear

  • A filter will have to be manually deselected to view the rest of the tasks on the Complete Tasks page

How do I bulk-assign tags?

  • Head to the Manage Tasks page & select the checkbox next to each task which needs a tag removed, a toolbar will appear at the top of the page

  • Select the 'More' dropdown followed by 'Add Tag' - this will then populate a list of tags which can be added

How do I bulk remove a tag?

  • Head to the Manage Tasks page & select the checkbox next to each task which needs a tag removed, a toolbar will appear at the top of the page

  • Select the 'More' dropdown followed by 'Remove Tag' - this will then populate a list of tags which can be removed
    ​


Why won't my tag save?

If the 'Add Tag' button is greyed out and your new tag won't save, it's worth checking the below:

  • Tags can't contain certain characters, for example: @ # & * Β£ $ ^

  • If there is a space at the end of the name of the tag, the tag may not be saved. For example:
