The Task Reports page is a feature of the Standard Plan only. Upgrade your plan from your Billing page.

Task Reports can be viewed by Admin & Manager level users. Admins will have the ability to view data for all sites, whereas Managers will be able to view the sites that they’ve been assigned to. More info on User Permissions here


As your operations scale and you add more tasks to your Trail, there’s more information that you need to keep an eye on and action on a daily basis.

This is where Task Reports comes in, a simple destination to keep track of all the important things. Here are some examples of how to use it:

  • Comparing and spot-checking food/equipment temperatures

  • Seeing all the photos and comments for a specific task across multiple sites

  • Checking the progress of an ongoing task e.g menu launch

  • Reviewing fire checks in all your sites across a long period

  • Viewing all your recent site audits


The Task Reports page contains a list of all the task instances since August 2020 of all the tasks in your account.

They’re ordered by start date, with the most recent start dates appearing at the top of the list.



What is shown on each task instance?

  • Task Title - Clicking the title will open that task in a new tab

  • Assigned site

  • Status - (In Progress, Overdue, Completed Early, Completed On Time, Completed Late, or Missed)

    • 💡 Note: Completed early information is currently only available here, and not on your site’s Trail

    • 💡 Note: If a task has been snoozed it won’t show here in this list

  • Counts to show:

    • Flagged items - (when teams can’t complete things or they’re not applicable)

    • Exceptions - (comments added, flagged checks, additional checklist items added, corrective actions raised & if a task has been reopened)

    • Comments



How do I view the task content?

Using the buttons at the top of the page you can also show / hide different types of task content.


The search box allows you to search the list by task title, and the results appear as you type.

💡 Note: The search box will start narrowing down tasks after two characters are typed.



How do I build my own Task Report?

There are two options for building your own Task Report:

Shortcuts - The shortcuts on the left-hand side of the page allow you to quickly navigate to the most common filters to see how your teams are doing at a glance.

Filters - By using the filters at the top of the Task Reports page, a detailed report can be built to view your task data.

Here are the filters you can choose from to build your report:

  • Date - Choose this filter to select the date range you would like to view, we have shortcuts available for Today, Yesterday & the Last 30 Days. Alternatively, you're able to select a specific date range

  • Sites - Choose which sites need to be included in your report

  • Tasks - Select to view a specific task or a selection of tasks (e.g. Fridge & Freezer Temperature Checks)

  • Status - This refers to the task status, select this to view tasks completed on time, late, early or missed

  • Tags - Select this to view tasks from a specific tag, more on tags here

  • Exceptions - Choose to view tasks that have been completed with an exception, more on exceptions here

  • Actions - This filter will allow you to see any actions that have been raised from completed tasks

💡 Tip: Once the desired filters have been selected - don't forget to choose to hit the 'Show' button to view all of the task content.


How do I export my data?

Once your report is built using the desired filters & the selected task content is shown hit the 'Share' button in the top right-hand side of the Task Reports page and select Download CSV or Download PDF.

If Exporting via CSV:

  • The Report will be emailed to the email address associated with your Trail account (the one used to log in).

  • Depending on the size of the report, this can take a minute or two to come through.

  • Still no report? It might be worth checking your spam/junk folder.

If Exporting via PDF:

  • You’ll be able to see a preview of your PDF report before downloading it.

  • You can export up to 10 tasks as a PDF at a time, with all the relevant content e.g. checklists, record logs & comments.



How do I share this report without exporting it?

Send another Trail Admin or Manager a link to your report using the share button - they’ll be able to see a direct view of what you've produced.
