Trail tasks can now include an embedded Quick Action that lets your team Raise a Callout in Maintain without leaving Trail.
Why is this useful?
Without this feature, teams often record the same action in two places - once in Trail, and again in Maintain. Quick Actions bring those actions together, reducing duplicate data entry and giving you a more complete picture of what happened on a task.
What could I this it for?
A Maintenance Task - set up an ad-hoc task that teams can raise when something breaks or needs attention. Rather than separately logging a callout in Maintain, the team can raise it directly from the Trail task, keeping the record in one place.
Temperature check to callout - a fridge or freezer temperature check is a common daily task. If a team member records a temperature that's out of range and realises the unit needs attention, they can raise a Maintain callout on the spot, without switching apps. The callout reference is saved against the task, so there's a clear audit trail from the temperature reading to the action taken.
How to add a Quick Action to a task
Only admins can add, change, or remove Quick Actions from task templates.
Go to the Manage Tasks page
Open the task you want to edit, or create a new one
In the Content tab, scroll to the Quick Action row and click it
Select the 'Raise a Callout' option
Setting the Quick Action as Mandatory or Restricted:
Mandatory - the team cannot mark the task as done until the Quick Action has been completed. Tick the Mandatory box in the field settings.
Restricted - only Manager or Admin users can interact with the Quick Action. Users without this role will see the section but it will be disabled.
If both are enabled, a Manager or Admin must complete the Quick Action before the task can be marked as done.
How it works for your team on Trail
When a user opens a task with a Quick Action:
The section shows a button labelled with the action (e.g. "Raise a callout") - clicking it opens a side panel overlay
The team completes the form within the panel and submits it
Once submitted, the panel closes automatically and the section updates to show the job number from the submitted callout
If the task is mandatory, the Done button remains locked until this section is completed
Troubleshooting
I can't access the Quick Action or receive an error message
You should check you have the appropriate permissions in both Maintain & Trail
The Quick Action won't load
Quick Actions are only available online, so it is worth checking your internet connection.
The team can't mark the task as done
If the Quick Action is set to Mandatory, the section must be completed first. If it's also set to Restricted, a Manager or Admin must complete it.
The Quick Action section is greyed out
The user may not have access to the connected product, or the section may be set to Restricted. Only Manager or Admin users can interact with Restricted MFE sections.
