What are Corrective Actions?
We realise there are times where tasks aren’t completed quite to standard. Maybe the temperatures for your fridges are too high or perhaps you need to replace a broken piece of equipment. Our Corrective Actions feature allows your team to simply raise and complete corrective actions as they complete tasks, ensuring quick and easy logging and tracking of anything that needs to be followed up.
How do I set up corrective actions?
If you’d like your teams to follow up with corrective actions for certain tasks, you’ll need to make sure you’ve set this up in the task editor for each task.
You can create corrective action templates to preset what your teams need to do, or you can allow them to set their own ad hoc corrective actions.
Creating corrective action templates
Use the + Create task button to create a new action template
Build your action content as you would any other task (see overview of the task editor for more information on building tasks.)
Ensure you select the Action schedule via the Schedule tab.
Use the Assign tab to group similar actions together, helping you filter in reports and on the Trail.
And use the Report tab to toggle email alerts for stakeholders that need to be alerted if an action is completed.
Assign Corrective Actions
There are two places you can assign actions within tasks:
Via the options field in a record log
Tick the 'Request action' or ‘Require action’ box beside any option that might need an action created if selected.
Select an action template to raise a preconfigured corrective action (see previous section) or leave the 'No template' option selected to allow your team to set their own corrective action.
2. When setting out of range answers to have actions
Tick the 'Request action' or ‘Require action’ box when setting out of range warnings.
As in option 1, select an action template to raise a preconfigured corrective action (see previous section) or leave the 'No template' option selected to allow your team to set their own corrective action.
Note: Ticking either box won’t automatically raise an action - this will simply allow your teams to be able to raise an action when they come to complete their tasks.
How do I raise Corrective Actions?
All Corrective actions are raised from the Complete tasks page. If your teams select an answer that calls for a corrective action to be added, the + Raise corrective action button will appear.
If the action has been set to required, this task won't be possible close until an action has been raised.
Upon clicking the +Raise corrective action button:
The preconfigured action will appear (if an action template has been assigned)
or
The ad hoc action editor will open and allow you to add details of the follow up actions needed.
Note: At the moment you’re only able to upload one photo as part of action.
In both cases, you will then select when the corrective action needs to be completed by.
This can be due by a single day or over several days.
Once the action has been raised, it’ll appear in your Trail alongside your other tasks.
You can get a full view of all actions across your organisation using our task reports feature - more information on this below.
Can I edit ad hoc actions that have already been raised?
If someone has started to work on the ad hoc action, it cannot be edited. However any ad hoc action yet to be worked on can be edited - simply click on the ‘Corrective action raised’ button within the task to reopen the action editor.
This will bring up the action editor where you can adjust the Title, description or due date.
Where can I see any actions raised?
Any user with permission to view Reports can view all actions at their assigned sites on the Reporting page, under Task Reports. Simply select the ‘Actions’ filter to view these. As with all task reports, you can narrow down your search by date, sites, tags, status and more.
Note: You can view either Tasks or Actions in Task Reports, not a combination.
Will actions affect our scores?
Yes, Actions will count towards your scores data which means they will be scored based on whether they are completed on time, late, or missed altogether, just like all your other tasks.
