Migrating your users to Evo

Control when your team connects to Access Evo. Set a deadline or require it immediately - all from your company settings.

If your organisation uses Trail Evo, you can now require users to connect their Evo account before they can access Trail. This gives admins control over when users migrate, with options to set a deadline or require it immediately.


What is Evo Account Gating?

Evo Account Gating is a setting in your company settings that lets you control whether users are required to connect an Evo account to use Trail. There are three modes:

  • Not required - No requirement is enforced. Users can access Trail without connecting an Evo account.

  • By a certain date - Users are prompted to connect their Evo account each time they sign in, but they can skip the prompt and continue using Trail. This lasts for a grace period that you set (in days). Once the grace period expires, users are blocked from accessing Trail until they connect.

  • Require now - Users are blocked from accessing Trail until they connect their Evo account. There is no option to skip.


Why is this useful?

Individual users need a connected Evo account to access Evo features. Until now, connecting was entirely voluntary - there was no way to enforce it across your organisation. Evo Account Gating lets you require the connection organisation-wide, at a time that's convenient for your whole team.


How to set it up

Before you start, you must connect your own Evo account before you can enable gating for your organisation. Learn more here

Configuring the gate

  1. Go to Settings > Company Settings.

  2. Find the Evo Account Connection section.

  3. Select the mode you'd like to use:

    • Not required - No action required.

    • By a certain date - A configuration panel will appear where you can set the grace period in days. Click Activate to start the grace period β€” this saves automatically. The panel will display the activation date and the calculated enforcement date.

    • Require now - Click Save in the top right of the section.

Changing or turning off the requirement

  • You can switch between modes or turn the requirement off at any time.

  • Switching to Not required removes the blocking modal for unmigrated users on their next sign-in. It does not undo any completed migrations.

  • Switching back to Not required clears the activation state.

  • If you're using By a certain date, you can extend the grace period - just update the number of days and click Save.

Important notes

  • The gate takes effect on a user's next sign-in, when they navigate to a different page, or when they refresh.

  • The gate applies to all user roles.

  • Users who have already connected their Evo account will not see the gate - it is automatically skipped for them.


What users will see

By a certain date (during the grace period)

When a user signs in, they'll see a modal with the heading "Connect your Evo account". It includes:

  • A badge showing how many days remain in the grace period (e.g. "5 days remaining")

  • An explanation that their organisation requires an Evo connection and that access will be blocked once the grace period ends

  • A Continue with Access button to start the Evo connection flow

  • A Skip for now button to dismiss the prompt and continue to Trail for that session


The prompt appears on every sign-in until the user connects or the grace period expires.


Require now (and "By a certain date" after the grace period expires)

When a user signs in, they'll see a modal with a lock icon and the heading "Connect your Evo account". It includes:

  • An explanation that their organisation requires a connected Evo account to access Trail

  • A Continue with Access button to start the Evo connection flow

  • A Log out button to return to the login page (there is no skip option)

After connecting successfully

Once the connection is successful, the user will be automatically redirected to Trail.


Troubleshooting

I can't enable gating for my organisation You need to connect your own Evo account first. Head to your profile and follow the steps in the Link your Trail account to Access article.

A user is being blocked but I want to let them in Switch the gating mode to Not required in company settings. The modal will be removed on the user's next sign-in, page navigation, or refresh.

The grace period has expired but I want to give users more time Once the grace period expires, the behaviour becomes the same as "Require now". To give users more time, switch to By a certain date, set a new grace period, and reactivate.

A user sees the gate but has already connected their Evo account This shouldn't happen - the gate checks the user's migration status and skips automatically for connected users. If it does occur, ask the user to try refreshing the page. If the issue persists, contact Support.
